Event Producer



 Event Producer (Visual Arts)

Our client, an event management company, is looking for an Event Producer (Visual Arts). In this role, you will be primarily responsible for overseeing the production for events like exhibitions or visual arts related events such as educational workshops, panel discussion, community outreach, etc as well as Arts festivals.

Other responsibilities will include:

•    With the support of a duly appointed technical director, schedules, oversees and coordinates overall production for exhibition design, fabrication, lighting, installation, audiovisual components, storage and close-out as well as insurance, shipping and maintenance of installed exhibitions, with operational accountability for the day-to-day work performance of production teams to ensure quality standards are met
•    Coordinates with Visual Arts divisions as necessary to ensure a full and sustainable installation including supporting Collections’ specifications for artwork storage, shipment, treatment, insurance and security.
•    Under the direction of the Head of Production, provides input into overall Exhibition division calendar, resource allocation, staff roles and responsibilities, communicating with key personnel and coordinating meetings as needed.
•    With the support of a duly appointed technical director, oversees the drafting, and execution of RFQs, RFPs, and exhibition contracts for design, fabrication, production, and sub consultant services, ensuring negotiation of cost-effective supplies and services and ensuring that assigned suppliers comply with exhibition contracts. Knowledge of the UAE market will be considered an asset.
•    With the support of the technical director, works with designers to produce exhibition plans, layouts, and elevations and ensures the maintenance of project documents, including graphic files, drawing sets, final deliverables, and as-builts.
•    Interface with Marketing Department and outside suppliers for production of all exhibition signage, branding and captions as instructed by the Head of Visual Arts Department.
•    Works with the Head of Production to monitor the operating and capital budgets as they pertain to physical production. Provides project estimates and monitors individual project budgets.
•    Logistical coordination of assigned projects including input and co-development of designated projects from concept development in accordance with a project brief
•    Supports other project management responsibilities as they arise.
•    Ensure all logistic requirements are prearranged aiming to zero error and worry-free travel of artists and guests, including: international travels, visas and special entry permits when required, meet & assist services, accommodation, and local transportation.
•    Ensure all necessary documents are collected in order to obtain performance permits on time.
•    Research suppliers, negotiate and ensure that contracted rates are competitive and in line with each event’s budget.
•    Assist in identifying and securing venues.
•    Assist in identifying internal/external stakeholders that will support in organizing yearly programs and events as well as the Festival.
•    Liaise with the visiting companies and guests in order to obtain all necessary information with regards to hospitality and technical requirements.
•    Assist in arranging and executing a variety of program initiatives including receptions, parties, dinners and other special events, in addition to the organization yearly cultural activities as well as Festival.
•    Conduct pre-event recce visits and quality checks, ensuring all elements are in place.
•    Assist in preparing budget/cost and viability reports.
•    Prepare and maintain timelines and task sheets, providing the Head of Production with regular updates as required.
•    Ensure all financial steps are correctly followed, ensuring the cash flow and monitoring is maintained accurately for the duration of the Festival.
•    Assist in ensuring FOH’s smooth operation during events/festival.
•    Assist in preparing post-event reports, assessments and SWOT analysis.
•    Demonstrate the ability to work as a team member, whilst simultaneously able to take initiative in the absence of the Head of Production.
•    Perform other tasks related to the Production Department as they arise and delegated by the Head of Production.

Requirements
•    Undergraduate degree in a design area, liberal arts, or museum-related field. Graduate degree in related field desirable.
•    Minimum of three years’ experience in a museum, gallery, or design firm setting, working on exhibitions.
•    Proven ability with art handling, packing, rigging and transportation; knowledge of best practices. Proven skills managing museum exhibition production and/or installation.
•    Experience overseeing production projects required.
•    Sound ability to read and effectively interpret written & technical instructions, such as production briefs, maintenance plans and procedures to effectively interpret concepts and working drawings and related documentation for exhibitions and planning
•    High degree of organizational skill with ability to handle multiple projects in various stages of development. Demonstrated ability to prioritize and manage time, juggle multiple duties and tasks, and meet deadlines.
•    Strong verbal and written communication skills, effective and professional negotiating skills, strong interpersonal skills, discretion and diplomacy.
•    Methodical and attentive to detail.
•    Experience with procurement and budget management.
•    Essential: Familiarity with a range of design software programs, such as Cad, InDesign, Illustrator.
