CAFM Specialist

The purpose of this position is to provide comprehensive operational and administrative support to the Estates Management department and contract senior leadership team in managing and coordinating CAFM, CAFM PPM plans, Asset Management and Estates Management element of the client monthly report.

Reason for role
ADIA contracts require a CAFM Supervisor to coordinate and support all operation and be an intrinsic central focal point for all CAFM reports, plans asset management for related activity within the Estates Management.

Structure and reporting relationship
Reporting to Operations Manager

Key accountabilities
•    Interface with senior CAFM and operational management within the respective contracts and externally in a professional, effective manner;
•    Develop process in CAFM for the maintenance of files and records, data updating, preparation of various correspondences and business reports;
•    Prepare materials for presentations including proofreading & formatting documents, charts, tables, graphs, plans, etc. for various reporting and KPIs.
•    Write correspondence and internal letters are distributed to the concern department/people;
•    Create and maintain an efficient financial filing system as per Serco’s Management System;
•    Work in a fast active environment meeting deadlines required by the contract management team.
•    To provide timely and effective administrative support as in when required;
•    Interface and develop suitable relationships with suppliers, partners and specialist subcontractors;
•    To monitor and report on progress against key milestones of business plans & projects; Updating all stakeholders on status of plans & projects at meetings/teleconferences;
•    Following up actions with individuals to ensure completion on time;
•    To support the senior leadership team with internal governance process

•    Ideally a degree holder or high diploma of post-secondary education in Engineering, IT or any related discipline.

•    Good literacy and numeracy skills required for the role;

•    Works effectively with others in a strong team-orientated environment;
•    Ability to work to flexible hours, evenings and weekends, in a trusted environment and to demonstrate absolute discretion;
•    Advanced level user of CAFM Concept Evolution and MS Office tools, (especially Excel);

•    A minimum of five years’ experience across CAFM and/or MEP Operations, in an FM environment
•    Proven experience as a team member of a program/project management office working on complex and large scale implementation projects and assisting measuring and managing performance and KPI’s;
•    Extensive knowledge of a multi-culture organization, know who the key personnel are (both external and internal) and able to understand the organization’s aims and objectives.
•    Appropriate experience within an administrative function within a highly competitive and commercial environment with a prevailing culture of business development, growth, and delivery on projects and customer service levels;

Additional / special features of the role
•    Ensure compliance with the Serco Management System and all relevant business processes, procedures and work instructions to deliver all work with appropriate quality and governance standards
•    Ensure security and integrity of all data provided including reporting performance, finance and customer information; reference Serco non-disclosure policy
•    To exercise personal duty of care for their own health, safety and welfare and for those affected by their acts or omissions; reference SMS GSOP-HSE1-6 Serco organisational HSE responsibilities
•    Ensure compliance with all training requirements of Serco and ensure adherence to these requirements at all times whilst in employment
•    Report any accidents, incidents, breaches or potential breaches to appropriate management or the speak up process
